Cancellation/Refund Policy
1. Booking Confirmation
A booking is considered confirmed only after the required advance payment or full payment has been successfully received by HikerWolf. By making the payment, the traveller agrees to all terms, conditions, cancellation policies, and liabilities mentioned on the HikerWolf website.
2. Cancellation by the Traveller
If a traveller wishes to cancel their booking, the cancellation must be communicated to HikerWolf via email or official WhatsApp communication. Cancellation charges will apply as per the timeline below.
Cancellation Charges:
* 30 days or more before departure – 25% of the trip cost will be charged
* 15–29 days before departure – 50% of the trip cost will be charged
* 7–14 days before departure – 75% of the trip cost will be charged
* Less than 7 days before departure / No show – 100% of the trip cost will be charged
All cancellations are calculated based on the total trip cost per person.
3. Processing Fees & Taxes (Non-Refundable)
All processing fees charged during booking are third-party payment gateway charges (including but not limited to payment gateway platforms, banks, or transaction service providers).
These charges are directly collected by the respective payment service providers and do not come to HikerWolf.
Therefore:
* Processing fees are strictly non-refundable under any circumstances.
* Applicable taxes and transaction charges are also non-refundable.
* These charges remain applicable even in case of trip cancellation, partial refunds, or rescheduling.
4. Cancellation by HikerWolf
HikerWolf reserves the right to cancel any trip under circumstances such as:
* Natural disasters or extreme weather conditions
* Government restrictions or safety advisories
* Insufficient number of participants
* Unforeseen operational challenges beyond control
In such cases, travellers will be offered either:
* Full trip credit for future travel with HikerWolf, or
* Refund of the trip amount after deducting non-refundable charges such as taxes and processing fees.
HikerWolf shall not be responsible for any additional personal expenses such as flight/train bookings, visa charges, or other arrangements made independently by the traveller.
5. Refund Process
Approved refunds (if applicable) will be processed within 7–10 working days from the date of confirmation of cancellation.
Refunds will be made only through the original mode of payment, wherever possible.
Processing fees, taxes, and other third-party charges will be deducted as applicable.
6. Transfer of Booking
In some cases, a traveller may transfer their booking to another person only if approved by HikerWolf and if the replacement traveler fulfills all requirements of the trip.
Any additional charges applicable during the transfer process must be borne by the traveller.
7. Liability Disclaimer
HikerWolf acts as a trip organizer and facilitator. While we take utmost care in planning safe and comfortable travel experiences, we shall not be held liable for:
* Injury, loss, accident, or delay caused by third-party service providers
* Changes in itinerary due to weather, road conditions, or local authority instructions
* Personal negligence or misconduct of travellers
* Loss or damage of personal belongings during the trip
Participants are advised to carry personal travel insurance if required.
8. Acceptance of Policy
By booking a trip with HikerWolf, the traveller acknowledges that they have read, understood, and agreed to the cancellation policy and liabilities mentioned above.
9. Force Majeure (Unforeseen Circumstances)
HikerWolf shall not be held responsible for any delay, alteration, disruption, or cancellation of trips due to circumstances beyond reasonable control. Such circumstances include but are not limited to:
* Natural disasters (floods, earthquakes, landslides, etc.)
* War, threat of war, armed conflict, military operations, invasion, or civil unrest
* Terrorist activities or security threats
* Government restrictions, lockdowns, travel bans, or administrative orders
* Epidemics, pandemics, or public health emergencies
* Strikes, transportation disruptions, or closure of routes/locations
In such situations, HikerWolf reserves the right to modify, postpone, or cancel the trip for the safety of travelers.
If a trip is cancelled or altered due to the above circumstances:
* HikerWolf may offer rescheduling or trip credit for future travel where possible.
* Refunds, if applicable, will be processed after deducting non-refundable expenses already incurred, including processing fees, taxes, permits, bookings with hotels, transport providers, or other third-party vendors.
HikerWolf shall not be liable for any indirect expenses or losses incurred by travelers, including but not limited to flight/train tickets, visa fees, insurance, or other personal arrangements.
