Cancellation/Refund Policy

Cancellation policy for short trips (less than 2 nights)

  • If cancellations are made 10 days before the start date of the trip, 50% of the trip cost will be charged as cancellation fees.
  • If cancellations are made 10 to 5 days before the start date of the trip, 75% of the trip cost will be charged as cancellation fees.
  • If cancellations are made within 5 to 0 days before the start date of the trip, 100% of the trip cost will be charged as cancellation fees.
  • If the event itself gets cancelled, you will be given the option to switch to any other event or any other date, Or you can opt for 100% refund. If you need to cancel your current booking and/or reschedule your booking to any other date, it can be done free of cost if the rescheduling request is sent 10 days prior to the event. From 10 days to event date and time, free rescheduling is not permitted. It will be counted as a cancellation done in less than 10 days of the event date and time. It’s a humble request, please do not give medical reasons, crib, argue or try to blackmail us if you drop out or cancel/reschedule the trek in the last 5 days. The basis of the cancellation policy is to protect the participant and the organizers from undue financial losses arising out of unforeseen situations. If the event gets canceled due to the medical/personal emergency of the organising team member, the participants will not have to suffer financial loss. Similarly, if there is a medical/personal emergency at the participant’s end, the organizing team will not have to suffer financial loss.

Cancellation policy for long trips (2 nights or more)

  • If cancellations are made 30 days before the start date of the trip, 50% of the trip cost will be charged as cancellation fees.
  • If cancellations are made 15 to 30 days before the start date of the trip, 75% of the trip cost will be charged as cancellation fees.
  • If cancellations are made within 15 to 0 days before the start date of the trip, 100% of the trip cost will be charged as cancellation fees.

Note:

  1. If treks/events/trips are called off due to natural calamity/unforeseen circumstances (like heavy rain, heavy snowfall, earthquake, landslides, strike, bandh, protests, pandemic, etc.), HikerWolf will provide the best possible alternative solution or issue a voucher for the full amount. This voucher can be redeemed up to the same amount for any of our upcoming treks/trips/events in the next 365 days. No refund will be provided.
  2. At any circumstances, if HikerWolf agrees to provide refund it will be issued within 5-6 working days after the trip/ event ends.
  3. If an ongoing Trip/trek/event cannot be completed due to a natural calamity/unforeseen circumstances (like rain, snowfall, earthquake, landslides, strike, bandh, protest, pandemic, etc.). No refund would be provided. 
  4. Any extra expense coming due to any natural calamity/unforeseen circumstances (like rain, snowfall, earthquake, landslides, strike, bandh, protest, pandemic, etc.), Will be borne by the customer. The company will not be liable.
  5. If you are paying only the booking amount it won’t be refunded at any point. 
  6. If the event itself gets cancelled, you will be given the option to switch to any other event or any other date, Or you can opt for 100% refund. The 100% refund is applicable after deduction of third-party cancellation charges i.e. train and stay. The cancellation charges of train tickets and stay need to be paid by the participant. 
  7. If you need to reschedule your booking to any other date, it can be done free of cost if the rescheduling request is sent 30 days prior to the event date and time. From 0-30 days prior to the event date and time, free rescheduling is not permitted. It will be counted as a cancellation done in less than 30 days of event date and time. It’s a humble request, please do not give medical reasons, crib, argue or try to threaten/blackmail us if you drop out or cancel/reschedule the event in the last 30 days. This mutually agreed cancellation policy is applicable to you and us as well. The Date and time of the cancellation request sent to us will be considered for the calculation of the applicable slab given above. The date and time of booking the event are not relevant for calculating the number of days and hours remaining between the event date and cancellation request.
